Privacy Policy

Effective date: September 11, 2026

The short version: we collect the information you give us, limited technical information needed to run and secure our website and services, and business information needed to work with your organization. We do not sell personal information or use it for targeted advertising.

1. Scope and Who We Are

This policy explains how Sinansys LLC ("Sinansys," "we," "us" or "our") handles personal information when you visit our website, ask for a demonstration, receive communications from us, or use a Sinansys service on behalf of your organization.

Sinansys is a New York limited liability company. Our address is 100 Park Ave, 16th Floor, New York, NY 10017. You can reach us at info@sinansys.com.

When a customer provides information to the Sinansys platform, the customer generally decides why and how that information is used. In that setting, the customer is the controller or business and Sinansys acts as its processor or service provider. The customer's agreement with us, including any data processing addendum, governs that processing. This policy applies to the personal information for which Sinansys determines the purposes and means of processing.

3. How We Use Information

We use personal information to:

Where European or UK data-protection law applies, we rely on the performance of a contract, our legitimate interests in operating and securing our business and services, compliance with legal obligations, or consent where consent is required. You may withdraw consent at any time, without affecting processing that occurred before withdrawal.

4. Customer Content and AI

Customer content remains subject to the customer's agreement with Sinansys. We process it to provide, secure and support the contracted service and as otherwise instructed by the customer.

We do not use one customer's confidential operational data to train shared or generalized models for other customers unless that customer expressly agrees in writing. We may use service telemetry and information that has been aggregated or de-identified so that it does not identify an individual or customer to maintain, secure and improve our services.

Sinansys provides business decision support. We do not use the service to make solely automated decisions about individuals that produce legal or similarly significant effects.

5. When We Disclose Information

We may disclose personal information to:

We do not sell personal information. We do not share personal information for cross-context behavioral advertising or use it to serve targeted advertising. We do not knowingly sell or share the personal information of anyone under 16.

6. International Transfers and Hosting

Sinansys is based in the United States. We and our service providers may process personal information in the United States and other countries where we operate. Where required, we use recognized transfer mechanisms such as adequacy decisions, the European Commission's Standard Contractual Clauses or the applicable UK transfer mechanism.

Hosting location, data residency and deployment-specific commitments for customer content are set out in the applicable order form, statement of work or data processing addendum. This policy does not expand or replace those commitments.

7. Retention

We keep personal information only as long as reasonably necessary for the purpose for which it was collected, including to maintain an active business relationship, provide services, meet contractual commitments, protect the service and comply with legal, accounting and recordkeeping requirements.

Retention depends on the type of information and context. We generally retain inquiry and business-contact records while the relationship remains active and for a reasonable period afterward; contract and transaction records for the period required by applicable law; technical and security logs for operational and security needs; and customer content according to the customer's agreement and documented instructions. We may retain limited records needed to document a request, honor an opt-out or establish legal claims.

8. Security

We use administrative, technical and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Customer-specific security controls and incident-notification commitments are governed by the applicable customer agreement.

9. Your Privacy Choices and Rights

You may ask us to access, correct or delete your personal information, or to provide a portable copy. Depending on where you live, you may also have the right to object to or restrict certain processing, withdraw consent, opt out of certain uses, or appeal our response to a request. We will not discriminate against you for exercising an applicable privacy right.

Send a request to info@sinansys.com with the subject line "Privacy request," or write to the address in Section 14. We may need information to verify your identity and authority. An authorized agent may submit a request where permitted by law; we may require proof of authorization and verification of the individual. If the information is controlled by your employer or another Sinansys customer, please direct your request to that organization first.

You may unsubscribe from non-service emails using the link in the message or by contacting us. Service and transactional messages may still be necessary while you or your organization uses our services.

California and other U.S. state disclosures

The table in Section 2 describes the categories of personal information we may have collected during the preceding 12 months, along with their sources. We use and disclose those categories for the purposes described in Sections 3 and 5. Depending on your state and subject to legal exceptions, you may have rights to know, access, correct or delete personal information and obtain a copy of it. Because we do not sell personal information or share it for cross-context behavioral advertising, we do not offer an opt-out of those practices.

European Economic Area, United Kingdom and Switzerland

If the law in your location applies, you may have rights of access, correction, deletion, restriction, objection and portability, and the right to withdraw consent. You may also complain to your local data-protection authority. We encourage you to contact us first so we can try to resolve the issue.

10. Cookies and Similar Technologies

Our public website does not currently use advertising cookies or cross-site behavioral tracking. It may use essential technologies and server logs needed to deliver pages, preserve security and remember choices. The website may also load resources such as fonts from service providers, which can receive technical information including your IP address and browser details.

The authenticated Sinansys service may use essential session and security cookies. You can configure your browser to reject cookies, but some service functions may not work properly.
